What are templates?
WhatsApp templates are pre-approved message formats required for all outbound messages sent outside the 24-hour customer service window. This includes bulk campaigns, trigger campaigns, and replies to contacts who last messaged you more than 24 hours ago.
Meta reviews and approves templates before they can be used. The Settings → Templates page shows all templates associated with your WhatsApp Business Account and their current approval status.
Template statuses
| Status | Meaning |
|---|
| Approved | Template is approved and can be used in campaigns and automations |
| Pending | Template has been submitted and is awaiting Meta review (typically 24–48 hours) |
| Rejected | Meta rejected the template — review the rejection reason and revise |
| Paused | Template has been paused by Meta due to low quality ratings |
Creating a template
Templates are created from Settings → Templates → Create Template or from the Campaigns section.

Syncing templates
If you’ve created templates directly in Meta Business Manager (outside of Swiftsell), click Sync Templates to pull the latest template list from Meta. This ensures all your approved templates appear in campaign dropdowns.
Deleting a template
- Go to Settings → Templates.
- Click the … menu next to the template.
- Select Delete and confirm.
Deleting a template also removes it from Meta. Any active campaigns or automations using this template will stop sending messages. Make sure no live campaigns depend on the template before deleting.
